How to Set Up a Professional Email Address with Your Own Domain

A professional email address uses a domain you control, such as [email protected]. To set one up, you need an email hosting service, a mailbox, and the correct domain settings. You can then use webmail or connect an email application on your computer or phone.

This guide explains business email setup using Heart Internet’s standalone Business Email service, from choosing an address to testing delivery. If your email comes with a different hosting product, use the instructions for that service because its control panel and settings may differ.

Have the following ready:

1. A domain name and access to the account that manages its active DNS records.
2. A suitable email hosting plan and access to the Heart Internet Customer Area.
3. A chosen mailbox name and a password manager for storing its credentials securely.
4. Details of any existing email service or other tools that send email using the domain.

You can use a domain for email without building a website. Your website and email can also be hosted by different providers. If you still need to choose a name, our guide to choosing a domain for a UK business covers the main decisions.

Plan the move before changing DNS. Create the replacement mailboxes, establish how existing messages and other data will be migrated, and agree when to switch incoming delivery. Changing MX records redirects incoming email; it does not copy old messages, contacts or calendars.

Record the existing DNS values and keep the previous service available through the agreed migration and DNS transition period. Do not cancel it until delivery and the required data have been checked. If the move involves several users or business-critical inboxes, contact our team to establish the appropriate process first.

Heart Internet’s Business Email plans provide hosted mailboxes that you can access through webmail and compatible mail applications.

Choose according to your storage needs, the number of people who need a mailbox and the collaboration features you intend to use. Both plans list spam and virus protection. Team bundles may suit several users; compare the total bundle price as well as the amount per inbox.

For an individual, formats such as [email protected] or [email protected] are straightforward. A role address such as hello@ or accounts@ can remain useful as responsibilities change.

A mailbox has its own stored messages and login. An alias delivers another address into a mailbox, while a forwarder sends messages onwards. Distribution lists and shared mailboxes serve other team workflows. Check which options your service supports before deciding how to implement a role address; do not give everyone the same personal mailbox password.

For the standalone Business Email service, use the allocation process described in our current Business Email setup guide:

1. Sign in to the Heart Internet Customer Area.
2. Open Manage Add-Ons, then Business Email Mailboxes.
3. Choose Assign for an available mailbox allocation.
4. Select the domain and enter the mailbox details, including the address name.
5. Set a strong unique password and confirm with Assign.

Store the full address and password in your password manager. If the domain or a mailbox allocation is missing, check the account and purchased service with support before proceeding.

DNS records connect the domain to services such as your website and email host. The place where you registered the domain may be different from the provider running its active DNS zone.

Check the domain’s nameservers and identify the provider managing the active records. Make email changes there, following that provider’s instructions. Registering a domain with Heart Internet does not by itself establish that email DNS has been configured automatically.

Save a copy of the current records before making changes. Leave existing website records in place unless the email setup instructions specifically require an adjustment. In particular, changing email delivery does not normally require replacing the website’s A or AAAA records.

Use the values supplied for the exact email service you have purchased. Do not copy MX records from an unrelated hosting plan or assume that a mail server name can be worked out from the provider’s brand.

Obtain the exact MX targets, priorities and host field from the setup information for your service or ask Heart Internet support to confirm them before editing the active DNS zone. The root domain field may be shown as @ or left blank, depending on the DNS interface.

Create the destination mailboxes before changing incoming delivery. For an existing email service, replace the old routing records as part of the planned switch, following the confirmed instructions. Leaving unrelated old MX records in place can send incoming messages to the wrong service.

DNS changes can take time to appear everywhere because other systems cache records. Check that you edited the authoritative zone and entered the correct values rather than relying on waiting alone to solve a configuration error.

Our Business Email setup guide provides the current SPF policy and DKIM CNAME records for this service. Copy the applicable values carefully, following your DNS provider’s field format.

If the domain already has an SPF policy, account for other legitimate senders such as a website or marketing platform. Update the single policy to cover them appropriately rather than publishing competing SPF records. Our SPF guidance explains the different service configurations.

Include DMARC in the setup and have the administrator check alignment before enforcing a restrictive policy. Blocking messages too early can affect a legitimate service that has not yet been configured correctly.

Google’s sender guidelines require SPF or DKIM for all senders to personal Gmail accounts, with SPF, DKIM and DMARC required for bulk senders. Google recommends all three. Authentication helps receiving systems assess your messages, but it does not guarantee inbox placement.

You can sign in through Heart Internet Business Email webmail using the full mailbox address and its password. Try webmail first so you can separate an account or delivery issue from an application setup problem.

To connect a compatible email application, use the current Business Email settings below. IMAP is the recommended option for keeping email folders and read status synchronised across devices.

On a desktop or phone, choose the application’s option to add an account. Select a manual or Other IMAP setup if automatic configuration does not supply the correct settings. Enter the incoming and outgoing details, then save and test the connection. Menu names vary by application and operating system version.

An Outlook application can access a compatible Heart Internet mailbox without the email being hosted by Microsoft. The Gmail mobile app can also act as an email client for another service; Gmail in a browser and Google Workspace have different features and setup routes.

IMAP synchronises email. Calendar, contacts and tasks need the supported access method for those features; adding an IMAP account alone does not configure them. Use webmail or the product’s relevant guidance to check what is available on your device.

Finish the setup with a practical check:

1. Send from the new mailbox to an address outside your business domain.
2. Reply from that external address and confirm the reply arrives.
3. Check delivery in webmail and in the connected application.
4. Confirm the sender’s name, reply address, folders and a normal attachment behave as expected.
5. View the received message’s authentication details or headers and check the intended SPF, DKIM and DMARC results.

If migrating, also check the historic messages and any required shared features before retiring the previous service. Ask your administrator or support team to investigate authentication failures rather than assuming a successfully sent message proves everything is configured correctly.

You can sign in but cannot receive messages

Check the active MX records against the confirmed service values. Confirm that the mailbox exists and has available storage, inspect the junk folder and check the Heart Internet service status. If DNS was recently changed, allow for caching while checking that the authoritative records are correct.

You cannot send messages

Check the outgoing server, the matching port and encryption method, and whether authentication uses the full mailbox address. Test through webmail. If webmail works but the application does not, review the application’s configuration. Keep the exact error message when asking support for help.

Messages arrive in spam

Check authentication and domain alignment first, including every service that sends using your domain. Reputation, message content and recipient filters can also affect placement. A recipient marking a legitimate message as wanted may help their own filtering, but it does not repair an incorrect sender configuration.

You cannot sign in

Confirm that you are using the mailbox address and mailbox password, rather than the login for your Heart Internet customer account. Follow the recovery process for the relevant service or contact support. Protect the customer account with its available security controls as well as using unique mailbox credentials.
